Since we believe you should be aware of about what we are doing with your valuable data, and as legal documents are hard to read, please find the most important information below:
- In order to assist you in scheduling, we obviously need some data about you and your calendar. The event data we use and submit to our servers is reduced to the minimum required to identify your availability: Start and end date, the location. All other event data remain in your calendar, even events that you create with Scedule.
- Scedule does not expose any calendar information to your contacts, so we just provide the availabilities which fit into each participants’ plans. If your calendar is empty and you are afraid of exposing these fortunate circumstances, our algorithm takes care of this as well and provides only selected free dates.
- In order to identify mutual contact relations, we hash the email addresses of your address book and submit them to our servers. We do not store them as clear text nor do or can we use them for any other reasons (like unsolicitedly inviting your contacts). A mutual contact relation is relevant as for 1:1 invitation requests Scedule, for privacy reasons, only matches availabilities from mutual contacts.
- We do not ask for any password from your calendars like Office365 or Google, so we do not store any of these credentials either, nor do we need direct access to those accounts to provide our service.
- Our servers are located in Germany and we therefore underlie German law.
- We are committed to safety and privacy, contact us at firstname.lastname@example.org if there are any concerns.
Scedule UG (“us”, “we”, or “our”) operates the Scedule website and the Scedule mobile application (the “Service”).
Our service is build to ensure the highest standard of privacy while at the same time reducing the manual effort to schedule and organize your workday.
This page informs you of our policies regarding the collection, use and disclosure of Personal Information when you use our Service.
Information Collection And Use
While using our Service, we may ask you to provide us with certain personally identifiable information that can be used to contact or identify you. Personally identifiable information may include, but is not limited to, the following information:
You provide your name, your (business) email address and select a password to create a Scedule account.
Personal information like your name and your email address may be shared with other participants of an invitation.
To identify the people you know, and to let these people automatically schedule appointments with you, you need to grant access to your address book. For people who have mutually saved their email addresses, we assume these people know each other and do automatically match their availabilities within the invitation process. To identify such a ‘mutual contact’, we submit only a hash value of your contacts email addresses and compare it with hash values generated from your contacts address books. We do not save any other data from your address book than these hash values.
Once you invite people to a poll, you submit their email addresses to us in order to process the invitation. We handle these contact details in an encrypted database and solely use them to process this specific invitation. We will not send any unsolicited message to your contacts.
We obviously need your availability information to match them with availabilities of people you would like to meet. Nevertheless, we do not need each and every detail of your calendar, we just submit the encrypted start and end date of appointments as well as the location. Remaining event data which are displayed within the Scedule client are locally accessed and cached within the client application. Based on the principle how Scedule works, it is not necessary to expose your calendar to other people. All other event information from your calendars remain in the calendar platform that you trust, and are not being transmitted to our databases.
Once we manage a poll for you, you transmit some more information about your meeting intentions, topics and participants to our servers. We will delete the data on our side 14 days after the poll has ended or has been cancelled.
We may also collect information that your browser sends whenever you visit our Service or when you access the Service by or through a mobile device (“Log Data”).
This Log Data may include information such as your computer’s Internet Protocol (“IP”) address, browser type, browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages and other statistics.
When you access the Service by or through a mobile device, this Log Data may include information such as the type of mobile device you use, your mobile device unique ID, the IP address of your mobile device, your mobile operating system, the type of mobile Internet browser you use and other statistics.
In addition, we may use third party services such as Google Analytics that collect, monitor and analyze this type of information in order to increase our Service’s functionality. These third party service providers have their own privacy policies addressing how they use such information.
Log data generated from using Schedule may be used for troubleshooting, statistics, quality assurance and improving the underlying algorithm. We can publish anonymous statistics as long as no personally identifiable information can be derived from them.
We may use information about your location to provide features that are closely related to our scheduling service approach.
Cookies are files with small amount of data, which may include an anonymous unique identifier. Cookies are sent to your browser from a web site and stored on your computer’s hard drive.
We use “cookies” to collect information. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Service.

We may employ third party companies and individuals to facilitate our Service, to provide the Service on our behalf, to perform Service-related services or to assist us in analyzing how our Service is used.
These third parties have access to your Personal Information only to perform these tasks on our behalf and are obligated not to disclose or use it for any other purpose.
We may use your Personal Information to contact you with newsletters, marketing or promotional materials and other information that may be of interest to you. You may opt out of receiving any, or all, of these communications from us by following the unsubscribe link or instructions provided in any email we send, or by sending an opt-out request to email@example.com.
We may use your Personal Information as well as the name and logo of the company you work for, for marketing purposes.
Compliance With Laws
We will disclose your Personal Information where required to do so by law or subpoena or if we believe that such action is necessary to comply with the law and the reasonable requests of law enforcement or to protect the security or integrity of our Service.
The security of your Personal Information is important to us, but remember that no method of transmission over the Internet, or method of electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your Personal Information, we cannot guarantee its absolute security.
Your information, including Personal Information, may be transferred to — and maintained on — computers located outside of your state, province, country or other governmental jurisdiction where the data protection laws may differ than those from your jurisdiction.
If you are located outside Germany and choose to provide information to us, please note that we transfer the information, including Personal Information, to Germany and process it there.

Our Service does not address anyone under the age of 13 (“Children”).
We do not knowingly collect personally identifiable information from children under 13. If you are a parent or guardian and you are aware that your Children has provided us with Personal Information, please contact us. If we become aware that we have collected Personal Information from a child under age 13 without verification of parental consent, we take steps to remove that information from our servers.
